We are seeking a detail-oriented and versatile Medical Office Coordinator & Billing Liaison to join our ophthalmology private practice. Key Responsibilities:
Billing Coordination:

  • Act as the primary liaison between the practice and the third-party billing company, maintaining clear and professional communication.
  • Prepare and submit accurate superbill batches, insurance batches, and EOBs (Explanation of Benefits) in a timely manner.
  • Process patient invoice payments with attention to security and compliance, maintaining PHI-secure (Protected Health Information) billing files.
  • Address patient billing inquiries by routing them to the billing service and providing proper documentation and support as needed.

Front Office Operations:

  • Verify insurance coverage, assist with authorizations, and coordinate referrals, ensuring a seamless experience for patients.
  • Answer phone calls, schedule appointments, and provide a warm and welcoming environment to all patients upon arrival.
  • Collect co-pays and verify insurance during patient check-in while ensuring the accuracy of front desk processes.
  • Support daily front office operations by organizing schedules, addressing patient needs, and maintaining a high level of professionalism.

Administrative Support:

  • Assist in filing and retrieving medical records in compliance with HIPAA regulations to safeguard patient privacy.
  • Help management with employee timecard data entry, including updates to staff hours, and contribute to payroll processing prep forms.

Required Skills & Qualifications:

  • Strong organizational and multitasking abilities, with a keen attention to detail in both billing and administrative tasks.
  • Outstanding interpersonal and communication skills, both verbal and written, to effectively interact with patients, staff, and third-party partners.
  • Proficiency in scheduling systems, insurance verification, and general office software programs.
  • Familiarity with HIPAA regulations and understanding of compliance requirements.
  • Previous experience in medical office administration, billing, or front desk coordination is preferred.
  • High school diploma or equivalent required; additional education or certifications in medical billing or office administration is a plus.
